Every AI vendor promises cost reduction, and most of the promises are percentages invented for a slide. We run a facilities company on the software we sell, so this list is built differently: five places where AI genuinely removes cost from building operations, what the mechanism is, and what to check before believing any number, including ours.

1. Intake and routing: the labor nobody budgets

The most reliable saving is the least glamorous: the human hours spent reading requests, retyping them into systems, deciding priority, and choosing an assignee. In a busy operation that is a full-time job, sometimes several, and it is pure connective work.

AI intake turns a plain-language request into a structured work order and routes it by trade, location, priority, and workload. The dispatcher role shifts from router to exception handler. In our own operation this is where the largest chunk of our 20 to 40 percent administrative time reduction came from, and we publish that range with the caveat that yours will differ. 2. Maintenance timed to reality, not the calendar

Calendar-based preventive maintenance overspends on lightly used assets and underspends on hard-driven ones, and the second error costs far more, because it surfaces as emergency repair at overtime rates plus downtime.

What to check before believing a number: whether the model has actually seen your asset classes and your usage, or whether the percentage came from a different industry's case study.

3. Lease obligations found before they bill you

Facilities cost is not just labor and parts. It is also the lease portfolio, where missed dates and unread clauses turn into real invoices: an auto-renewal nobody wanted, an escalation that was never budgeted, a repair that was contractually the landlord's.

AI document reading abstracts critical dates, escalation clauses, and obligations from leases into structured, alarmed fields. 4. Space carried but not used

After payroll, space is usually the biggest line item, and hybrid work quietly broke everyone's occupancy assumptions. The cost hides in plain sight: floors carried at full service levels for partial attendance, leases renewed by default.

AI helps by consolidating occupancy signals, finding the patterns humans miss, and connecting them to the lease calendar so the finding arrives before the renewal decision, not after. 5. Questions answered without a human

Status checks, building policies, where-is-my-package, how do I book the dock. Individually trivial, collectively a tax on every skilled person in the operation. How to evaluate any AI cost claim, including ours

  • Ask for the mechanism, not the percentage. A real saving names the hours or invoices it removes.
  • Ask whose operation produced the number. A manufacturer's downtime stat does not transfer to your office portfolio.
  • Ask what the number was before. No baseline, no claim.
  • Ask whether the vendor runs the product themselves. Roadmaps and claims stay honest when the builder eats the rough edges.
